What we collect, why we collect it, who else touches it, and how to get it back or get rid of it.
The short version
- We collect your email, your station details, the prep you write in the app, and the airchecks you record.
- We never see your card number. Stripe handles that.
- We do not sell your information, and we do not run advertising trackers.
- Nothing optional is loaded until you say yes on the cookie banner.
- You can export or delete everything, from inside your account or by asking us.
The rest of this page is the same thing said carefully. If the two ever disagree, tell us — that is a bug in the document.
Who we are
ShowPrepPro is operated by Martian Creative, LLC, a limited liability company in California, United States. When this page says "we", "us" or "our", that is who it means. We are the controller of the personal information described here.
Questions about anything below go to privacy@showpreppro.com, and we answer them.
What we collect
Your account
Your email address, the name you give us, and — if you set one rather than using a sign-in link — a password. Passwords are stored only as a cryptographic hash. We cannot read yours, and neither can anyone who steals the database.
We also record when your email was verified, when the account was created, and when it was last used, so that we can tell an idle account from an abandoned one.
Your station
Call letters, the name you use on air, city, state, market, format, the daypart you work, your time zone, and whether you have the family-safe filter on, plus the address of your station's online stream if you give us one or ask us to find it. This exists because it is the product: it puts your city and call letters into the copy, your weather on the rail, and orders the feed to your format.
What you write and do in the app
Your own prep sections and items, the breaks you build, the copy inside them, which items you have marked as read on the air, and which ones you have saved. Read history exists for one reason: so the same story does not come back around and get read twice in an hour.
Your airchecks
When you press the Aircheck button, we record your station's own stream for as long as it is on, and keep the recording with that day's show. We keep which recordings you have listened back to, your ratings of each break and any review you write, because that is what your streak is counted from. Nothing is recorded unless you press the button, and you can delete any recording.
Your public page, if you turn one on
The address you choose, and what you put on the page: your name, the line under it, your bio, your résumé (the one you build there or a PDF you upload), links, photographs, past airchecks you upload, the airchecks and breaks you publish, and, only if you turn it on, your streak (how many show days in a row you have recorded and listened back) and its trophy. If you add YouTube or Vimeo videos, the page shows those companies' players, and a visitor's browser loads them from YouTube or Vimeo, under their privacy policies; YouTube's is its privacy-enhanced player, which sets no cookies until the visitor presses play. While the page is on, all of that is public and can be found by search engines. Nothing is on it until you put it there, and turning it off takes it down at once.
Messages sent through a host's page
If you write to a host through their page, we pass your name, email address and message to that host by email, and do not keep the message. To stop abuse we keep, for two days, a one-way hash of your IP address and the time you wrote. The host sees your email address so they can reply.
People you invite
The email addresses of producers you add to your account, and of a co-host you share your station setup with. We use them to send that one invitation and to sign them in if they accept.
Billing
Your subscription status, plan, trial end date and current billing period, plus the customer and subscription identifiers Stripe gives us. We never receive or store your card number, CVC or expiry. Those go from your browser to Stripe and never touch our servers.
Technical information
A session identifier when you are signed in, the browser and operating system your session was started from, and the ordinary server logs our hosting provider keeps — IP address, time, page requested, response code — which are used to keep the service up and to stop abuse.
Inside the app, which pages you open each day, for how long they are on screen, whether you are on a phone or a computer, and which of our emails a link came from. When you sign up, the site or promo code that sent you, as your browser reports it on the signup page. It is stored against your account, never shared, and used only to see which parts of ShowPrepPro help and where people get stuck. No cookie and no outside service is involved, and nothing is recorded before you sign up.
What we do not collect
- Card details. Ever. See above.
- Advertising or cross-site tracking. There are no ad pixels, no data brokers and no third-party marketing tags on this site.
- Anything about your listeners. ShowPrepPro is a tool for the person holding the microphone. It has no reason to know anything about the audience, so it does not ask.
- Your microphone. On-Air Mode displays text and does not listen. The Aircheck button records your station's public stream, not your microphone, and only while you have it switched on.
Why we are allowed to hold it
Most of it because we cannot deliver a subscription you have paid for without it — an account with no email is not an account. Some of it because we have a legitimate interest in keeping the service working, secure and solvent: server logs, fraud prevention, and knowing how many people use a feature before we spend a month improving it. Anything optional, such as analytics, rests on your consent and nothing else.
Cookies
We set a small number, and every one of them is listed by name, purpose and lifetime in the Cookie Policy. Optional cookies are not set until you allow them, and you can change your mind at any time using the "Cookie settings" link at the bottom of every page.
How your information is used
- To sign you in and keep you signed in.
- To build and deliver your daily edition, ordered for your format.
- To record and keep your airchecks, and count your streak from them.
- To take payment, and to tell you when a card is about to fail.
- To answer you when you write to us.
- To keep the service up, and to work out what to build next.
We do not use your prep content to sell you anything else, and we do not show it to other subscribers.
Artificial intelligence, specifically
Parts of the product are built with AI models, and you should know exactly which parts and what goes into them.
- Writing the edition. Our editorial pipeline drafts and rewrites the daily edition. That is our own material and our own sources. Nothing you have written is involved.
- Nothing of yours. No station profile, prep note, break, aircheck or email address is sent to an AI provider. If that ever changes (a section written about your market, say), this page will say so before it happens.
We do not permit these providers to train their models on your content, and we do not train any model of our own on it.
Who else touches your information
We keep the list of outside companies short on purpose, and this is all of them. Each is bound by contract to use the data only to provide the service to us.
| Company | What they do for us | What they see | Where |
|---|---|---|---|
| Cloudflare, Inc. | Hosting, application database, file storage, DNS and security | Everything stored in the service, plus request logs | United States |
| Stripe, Inc. | Subscription billing and payment processing | Name, email, billing address and card details — entered on Stripe, never stored by us | United States |
| Anthropic, PBC | Drafting and checking editorial copy | Our own editorial text and sources. No subscriber data is sent. | United States |
| Resend, Inc. | Sending the "your prep is ready" email and the weekly note | Your email address and the message itself | United States |
| ElevenLabs Inc. | Pronunciation guides (not currently enabled) | Names from our own editorial copy. None of your text. | United States |
When you open your hours in Riano
Riano (riano.studio) is our web aircheck editor, also run by Martian Creative. When you press Make an aircheck in Riano, your browser loads the whole-show hours you chose from us into Riano, through a private link that works for two hours and only for Riano. Nothing is sent anywhere until you press it.
Riano finds your talk and drops the music in your browser. Only if you then choose Build it for me there does Riano send the talk (never the music) to its own transcription service, under Riano's privacy policy. ShowPrepPro itself still sends none of your audio to an AI provider.
If you record your whole show, each hour is also passed, as it finishes, to Riano's listener, a server Martian Creative runs on Cloudflare. It finds where your voice is so The Whole Show can be made for you, with the music taken out. It reads the hour once and keeps none of the audio. What it sends back is where you talk, plus a short numeric summary of each few seconds of voice, used only to tell your voice from the songs and other voices that day. We delete those summaries as soon as that day's Whole Show is made, and within two days in any case. None of it goes to an AI provider.
If you follow a competitor under Competition, their public stream is recorded on the times you set, for your own private review, and its talk is found the same way. Those recordings, and their Whole Show, are visible only to your account and are deleted after 14 days.
Emails we send
- Sign-in links, when you ask for one.
- Account emails: welcome, trial ending, payment received or failed, cancellation, and a producer invitation when you send one. These come with the account and can't be switched off while it is open.
- "Your prep is ready", the day before each show. Switch it off in Account, or with the link at the bottom of any one of them.
- The weekly note, with its own switch, the same way.
Account emails and sign-in links go out through Cloudflare; the prep and weekly emails through Resend. Both necessarily see your email address and the message.
Beyond that: we will disclose information if the law actually requires it, and we will tell you when we are permitted to. If the business is ever sold or merged, your information may transfer with it — and you will be told before that happens, not after.
We do not sell your personal information, and we never have.
How long we keep it
- Your account and your content: for as long as the account exists, and for 30 days after you delete it — so that an accidental deletion can be undone — after which it is destroyed.
- Sign-in sessions: until they expire or you sign out.
- Sign-in links: minutes. They are single-use and stored only as a hash.
- Billing records: as long as tax and accounting law requires, which is currently seven years. This one we cannot shorten for you.
- Server logs: weeks, not years.
- Messages sent through a host's page: not kept at all; the hashed IP address and time used to stop abuse, two days.
Your rights
Wherever you live, you can ask us to show you what we hold, correct it, export it in a form you can use elsewhere, or delete it. Most of that is a button inside your account; for the rest, write to privacy@showpreppro.com and we will respond within 30 days. We will not charge you for asking, and we will not treat you differently for having asked.
If you are in California
The CCPA, as amended by the CPRA, gives you the right to know what is collected and why, to delete it, to correct it, to opt out of sale or sharing, and to limit the use of sensitive personal information. Two of those need no button here: we do not sell or share personal information, and we do not collect sensitive personal information as that law defines it. The others are exercised the same way as above.
If you are in the UK or the EEA
You additionally have the right to object to processing based on legitimate interests, to withdraw consent at any time without affecting what was done before, and to complain to your national data protection authority. Our processing takes place in the United States, under the standard contractual clauses where they apply.
Security
Everything travels over HTTPS. Passwords are hashed, sign-in links are stored hashed and expire in minutes, and session cookies carry a random identifier rather than anything about you. Access to production data is limited to the people who need it to run the service, which today is a very short list.
No one can honestly promise a system cannot be breached. What we can promise is that if one happens and it affects you, we will tell you what happened, what was taken and what to do about it — promptly, and in plain English. Security reports are welcome at security@showpreppro.com.
Children
ShowPrepPro is a professional tool sold to broadcasters. It is not directed at children, and we do not knowingly collect information from anyone under 16. If we learn that we have, we delete it.
Changes to this policy
When this policy changes in a way that matters, we will update the effective date at the top and email account holders before the change takes effect. Older versions are kept, and we will send you one if you ask.
